Name of the resource type. Resources are mainly employees (persons)., however, departments, machines, work spaces, or monetary resources can also be planned for tasks. The resource types available in PLANTA project are listed below. In input mode, a listbox for selection of a resource type will be displayed on the respective field.

Name of the resource type. For description, see DI058259.

DI005103 Resource type

Name of the resource type. Name of the resource type. This parameter is used for grouping the resource by type.

DI000270 Resource structure code

Indication of the resource position in the resource structure / resource structure tree.

Details

  • The resource structure code is manually allocated according to the resource/company structure. When changing the resource structure, you therefore have to check the resource structure code (as it is not adjusted automatically) and adjust it where necessary. A traffic light is implemented on the field which turns yellow as soon as the structure code does not reflect the resource position in the structure tree.
  • In PLANTA standard, the resource structure code serves to control access rights for resources. If the resource structure code of a resource is changed, the resource access must be verified as well. A message is displayed which explicitly informs the user about this. 
  • Furthermore, the resource structure code is used in resource views which are structured differently and listboxes are used as sorting criterion.
  • All of these aspects must be considered in individual customizing.

DI058977 Conversion factor

Name of the resource conversion factor. The conversion factor is used by the capacity scheduling to convert the effort of the resources into costs. This takes place during the calculation of the schedule.

DI000803 Default load profile ID

Code (ID) of the default load profile of the resource. For description, see DI058969.

DI058969 Default load profile

Default load profile name of the resource. In input mode, a listbox for selection of a default load profile will be displayed on the respective field.

Load profiles control the distribution of the planned effort or of the costs/revenues of the task resource to individual working days over the duration of the task. The distributed effort values are called loads.  

  Details

  • For each resource, a default load profile can be preset in the master data, which will automatically be copied to the Load profile field when the resource is assigned to a task. If required, the preset can be changed on the resource assignment.

DI000804 Default max. load/day

Default value for maximum load of the resource per day

Details

  • The Default max. load/day value of a resource serves to preset the Max. load/day parameter when assigning the resource to a task in a schedule. If required, the preset can be changed on the resource assignment.
  • The value will be taken into account during scheduling when remaining loads (planning) are created, in contrast to the value of the Max. actual hours/day parameter which will be taken into account when recording actual hours.

The value entered here has an impact on the following load profiles:

  • CAP
    • The Max. load/day value is a threshold for schedule calculation which is exceeded if necessary, e.g. if duration or requested dates are predefined for the respective task.
    • If no Max. load/day has been set, the entire available capacity left is available for planning.
    • The mere exceedance of the Max. load/day limit does not yet present an overload, as overload is only determined on the basis of the available capacity of a resource. The resource only has overload when the availability is overrun.
    • The calculation of the schedule works with the Max. load/day parameter as follows (provided that there are no further restrictions on the resource assignment, like e.g. requested dates):
      • The required duration of the resource assignment used in scheduling is calculated from Remaining effort / Max. load/day.
      • This duration is the initial value for capacity adjustment.
        • Example: Remaining effort of the resource assignment = 100, Max. load/day = 5. The duration of the resource assignment is calculated as follows: 100/5 = 20 days.
        • If several resources are assigned to the task, the task duration is determined as the maximum duration from all resource assignments.
  • BLD
    • If for resource assignments with BLD the Max. load/day field is filled, the remaining effort will be calculated automatically as follows:
      • Remaining duration * Max. load/day .
      • Manual changes in remaining effort will be overridden again with calculated values in the calculation of the project schedule. If you do not want this, you have to clear the Max. load/day field.
  • For all other load profiles, an entry in this field will have no effect.

DI000830 Default cost type ID

Code (ID) of the Default cost type parameter. For description, see Default cost type.

DI058255 Default cost type

Name of the default cost type of the resource. In input mode, a listbox for selection of a cost type will be displayed on the respective field.

Cost types serve to group the calculated resource costs and their distribution to cost type groups which are used in cost and budget modules for planning and representation of costs and budgets.

Details

  • The default cost type value of a resource serves to preset the Cost type of the resource assignment parameter when assigning the resource to a task in a schedule. If required, the preset can be changed on the resource assignment. Hence, the cost type on the resource assignment can deviate from the default cost type of the resource in a particular task of a particular project.
  • The cost type of the resource assignment is transferred to the load records during the calculation of the schedule. The distribution of costs to the cost type groups and the visualization in cost and budget modules, e.g. in the Budget module, is based on the cost type of the load records.

Notes

The cost type can be changed both as default value in the master data of the resource (default cost type) as well as at resource assignment and load level of a project (cost type of the resource assignment and cost type of the load) at any time. However, the impact of the changes must be considered.

  1.  Resource assignment level of a project: If the cost type of a resource assignment is changed,
    1. the new cost type will furthermore be applied to all new load records.
    2. the new cost type will be applied to existing remaining loads in the next calculation of the project schedule.
    3. this does not affect existing actual loads since the old cost type is retained and must be adjusted manually if necessary.
  2. Load level of a project: If the cost type is only changed on individual remaining load records, it keeps taking effect as long as the project schedule is not newly calculated, otherwise it will be overwritten with the resource assignment cost type gain. If actual loads with the changed cost type are created by recording hours worked or if the cost type is changed on already existing actual loads, the changed cost type will still be retained after calculation of the project schedule and will not be overwritten by the resource assignment cost type.
  3. Default cost type of the resource When you change the default cost type of the resource in the Master Data, a query is displayed asking whether the cost type of this resource is to be changed in resource assignments which exist in projects. 
    • If you answer the query with Yes, the new cost type will be changed in all existing assignments of this resource in all projects concerned. Consequently, the specifications made under item 1 Resource assignment of a project apply. 
    • If the query is answered with No, the cost type of the existing resource assignment will not automatically be changed but the new value will be used as a default value for all assignments of this resource which are furthermore newly created.

DI058971 Calendar

Name of the resource calendar. In input mode, a listbox for selection of a calendar will be displayed on the respective field. The calendar selected here defines that the resource period records are preset with the settings from this calendar.

   Period records are records in which different master data and planning values of a resource are saved per day (period). You can view them in the Availability module.

Details

  • The calendars offered for selection in the listbox can be created and edited in the Calendar module.

Note

  • If changes are made to the calendar afterwards, they do not have an effect on existing periods of the current resources but only new periods. If you want changes to take effect on existing resource periods, you have to refresh the periods of the respective resources for the required period. For the procedure, please refer to the description of the Resource Data Sheet module.

DI001229 Calendar ID

Code (ID) of the resource calendar. For description, see DI058971.

DI001230 Start period

Start date of the planning horizon of a resource. The value of the Start period parameter are used together with the value of the End period value to generate the resource period records. For the detailed creation, modification, and deletion procedure of periods, see the description of the Resource Data Sheet module.

  Period records are records in which different master data and planning values of a resource are saved per day (period). You can view them in the Availability module.

Details

  • If a from date which is later than the start period is set when refreshing the periods of a resource, the start period date will be updated.

The parameter can be edited in the following modules by users with modification rights:

DI001231 End period

End date of the planning horizon of a resource. The value of the End period parameter is used together with the value of the Start period parameter to generate resource period records. For the detailed creation, modification, and deletion procedure of periods, see the description of the Resource Data Sheet module.

Details

  • If a Left on date is set for a resource
  • If an up to date which is later than the end period is set when refreshing the periods of a resource, the end period date will be updated.

Notes

  • If a resource is planned beyond the end of his/her planning horizon (i.e. later than the date of its end period), the impact on scheduling results must be considered.
    • To the BLD load profile, the following applies:
      • If there is no availability for planned resources due to missing periods, scheduling assumes that the availability is unlimited (7 days week) . The resource is scheduled for 7 days per week.
        • Since the distribution of the remaining hours on the task are done linearly, this leads to different calculations of calc. end dates of the task and the resource assignment.
    • To the CAP load profile, the following applies:
      • the entire remaining load is planned on one day, i.e. the first day after the end period.
    • To all other load profiles, the following applies:
      • loading in accordance with the load profile definition
  • If you do not want the system to behave in this way, you can proceed as follows:
    • Alternative 1: Prolongation of the planning horizon of the resource in the Resource Data Sheet.
      • However, to prevent performance impairment, the planning horizon should not be longer than necessary. The planning horizon can be extended if necessary.
    • Alternative 2: Scheduling of the resource using the MAN load profile.

DI064807 Calculate from

DI001233 Unit/day

The number of units ( the unit itself is defined in the Base unit parameter) which is available for the planning of the selected resource in the selected period per day. The value defined here is applied to all period records in the Unit/period column of DT468 when creating periods and can be changed for individual period records in the Availability module.

Percentage value for the load limit of the resource. The capacity adjustment starts at the value calculated from: Available capacity * Load limit %.

  • Load limit % = 120
    • Capacity adjustment starts at 120 % load, i.e., tasks are only moved when this value is reached.

DI001240 Available capacity for periods

Generally available capacity of the selected resource per period. The value calculated here is copied to each period record of the Available capacity column (Availability module). If necessary, the value can be changed for the required period records in the Availability module by changing the respective period factors.

  Period records are records in which different master data and planning values of a resource are saved per day (period). You can view them in the Availability module.

  • The influence factors listed here will be taken into account in the calculation of the Available capacity for periods value. The values of the influence factors are added or subtracted successively in the calculation of the Available capacity for periods. For the calculation formula, see Available capacity for periods.
  • Meaning, values, calculation methods, and units of influence factors 1 - 2 are reserved by PLANTA for absence and cannot be changed. Only conversion ratio between base unit and units 1 - 5 (Base unit for unit (1-5) fields) can be edited. Meaning, values, calculation methods, and units of influence factors 3-5 are arbitrary.

This parameter controls whether effort values of the resource assignment (Planned/Actual/Remaining effort) are summarized to the respective effort fields of the task and of the project in the calculation of the schedule.

Notes

  • The checkbox must only be activated for effort resources, i.e., resources the effort of which is measured in time units.
  • The checkbox is to be deactivated for resources used for cost calculation in order for the effort not to be summarized in different units.

DI001243 Adjustment by effort

This parameter specifies whether a capacity adjustment by effort is carried out for this resource, provided that the remaining requirements are fulfilled. Capacity adjustment by effort means: The disposable capacity is compared to the load. This is the normal approach to capacity planning. See also Adjustment by costs.

  • - Capacity adjustment by effort is being performed.
  • - Capacity adjustment by effort is not carried out.

 Caution

  • This parameter must be set if at least one of the planned resources uses the CAP load profile. If in such a case this parameter is not activated, no load records are created in the calculation of the schedule.
  • In PLANTA project, this parameter is activated for all newly created resources by default.

DI001269 Calculation active

Information

  • In the calculation of the schedules, each resource which is addressed by the projects to be calculated is required exclusively.
    • If a project for which a specific resource is planned is currently calculated, this resource is locked for other calculations, so that no calculation can be carried out for other projects for which the resource is planned. This is because availability calculation checks the availability of every resource and corrects it respectively when loading.
  • The Calculation active code is
    • set to when the calculation of a schedule is initiated
    • reset to when the calculation of a schedule is finished.

Notes

  • If the program is terminated during calculation, the code must be reset manually. This can be done in the Scheduling Status module.
  • Several single calculations can only run simultaneously if the projects to be calculated do not share any resources.

This list only contains projects and tasks in which the planning of the resource is not yet completed, i.e. in which no Actual end date has been entered on the resource assignment.
  • If actual hours are to be reported to the resource, the checkbox must not be deactivated.
  • This parameter does not affect the summarization of utilization in resource structures. If the Resource to be planned parameter is deactivated, the utilization of the parent resource is summarized to the parent resource regardless.

This parameter controls for parent resources whether the period records of all child resources are summarized to the parent resource. This parameter only takes effect on parent resources. DI058253 Default cost center

Name of the default cost center (default organizational unit) of the resource. In input mode, a listbox for selection of a default cost center will be displayed on the respective field. Note

  • The cost center exists both as a default value (default cost center) and at both levels of a project (cost center of the resource assignment and cost center of the load).
    • If the default cost center of the resource is changed (DT467), the new value is used for all resource assignments (DT466) that are created afterwards. The cost center of existing resource assignments, however, is not changed automatically, but equates to the default cost type applicable at the time of insertion of the resource assignment. It must be changed manually if required.
    • If the cost center of the resource assignment (DT466) is changed, it is applied to all new load records (DT472) of the resource assignment in the calculation of the project schedule. In order for the cost type to be applied to the existing load records as well, the schedule of the project must first be unloaded (Edit → Unload schedule menu item) and subsequently be recalculated (Edit → Unload schedule menu item).
      • Actual load records and manually created load records (i.e. those with MAN load profile) are exempt. They are neither changed during unloading nor in the calculation of the project schedule and must be adjusted manually if necessary.

DI008341 Left on

Date from which on the resource is no longer available for planning in projects, e.g. because the respective person has left (or will leave) the company by this date.

Details

  • If a resource has left the company, the planning of this resource in projects must be checked manually and the remaining effort must be allocated to other resources. The respective department manager can do this via the Resource Planning module.
  • The actual data remains unaffected. Otherwise, the planning would be invalidated. For this reason it is explicitly advised against the deletion of resources which have left the company.
  • However, resources left should not be included in any further planning. Thus, they must not appear in the resource listboxes anymore. Therefore such listboxes only offer resources for selection for which the date in the Left on field is today or in the past. Resources with Left on date in the future will not be filtered out from the listboxes until the date has been reached. For more information, see Master Data Adjustment.

By selecting a parent resource, the resource is included in the structure or the resource position in the resource structure is changed or the resource is removed from the structure when the parent resource is removed.

Notes

  • When putting on or removing a resource from the resource structure
      • the available capacity of the parent resource(s) is adjusted automatically.
      • the utilization of the immediate parent resource is adjusted automatically, that of the upper level parent resource will not be adjusted. In order to ensure an update on all structure levels, you have to unload and subsequently replan all projects in the Replanning (Calculation of all Projects) module.

Caution

  • When changing the resource structure, the resource structure code of the resource to be edited is not automatically changed but must be adjusted manually. This step is mandatory since the resource structure code is used for controlling resource access

  • It is possible to specify the value for Max. hours/day for all employee resources with resource type = 1*), which are newly created. To do so, enter the required value in the Max. actual hours/day global parameter.

  • The Max. actual hours/day value will be taken into account in the recording of actual hours, unlike the value of the Default max. hours/day parameter which will be taken into account during scheduling when remaining loads are created (planning).

Notes

  • This checkbox is activated by default for person resources (resource type = 1).
  • For all other resources, the checkbox is deactivated by default.
  • If this parameter is activated for a resource after it has already been planned in a project, no requests will be created for this resource retroactively.
  • In the Resources and Resource Structure modules, the respective data field is hidden by default but the user can unhide it by right-clicking on any column header and activating the data field in the context menu.

DI066101 Effort can exceed approval (% limit)

Parameter for configuring by what percentage the approvals of the department can be exceeded by the project manager.

The parameter can be edited in the following module by users with modification rights:

Notes

  • To find out whether the approval limit has been exceeded, the approved values and the planned values are compared per period.
    • The approval limit is thus considered exceeded as soon as the approval in a period has been exceeded by more than the defined limit.
  • If the value has been changed, the new approval limit will be applied to all non-archived approvals of the respective department and the value in the Number of projects which exceed the approval limit: will be calculated anew.

DI066120 Number of projects with exceedance of the approval limit:

Number of projects in which the approval limit of the department manager is exceeded by the project manager.

Note

  • The approval exceedance which has already been marked as "read" will not be taken into account.
