Information

  • Below you will find a list of customizing information or settings which provide required background knowledge on the module for project management administrators. Information concerning users can be found in the description of the Time Recording module.

Project Display

  • In the Time Recording module, only projects or tasks are displayed
    • which are not locked (e.g. by the Locked parameter in the Project Core Data or by the Task locked parameter in the Schedule)
    • which are not finished (actual end not filled for project and task)
    • which are not completed (the Completed checkbox in the Time Recording module is not deactivated)
    • for which the respective project is active
  • Exceptions: locked, finished, completed tasks are displayed in the module if they already contain postings in the current week. For more information, see the Non-postable objects (selected week) group.
  • If you force the display of locked projects or tasks and try to record hours worked, the Project/task locked or invalid time recording period message will be displayed.

Time Scale Setting

  • Below the time scale, the calendar preset in @G150 takes effect. It can but does not necessarily have to match with the project, proposal, or resource calendar.
    • If the calendar specified in variable @G150 is too short, the Time Recording module will be displayed completely empty. The respective calendar can be adjusted in the Calendar module.

Project Groupings

  • Time recording only up to the end of the current week
    • Here, projects are displayed for which the Posting type parameter in the Project Core Data module is set to "Actual postings up to the end of the current week".
  • Time recording also for future hours worked

Calendar

  • The Scroll in the calendar function relies on the calendar preset in the global @G150 variable. It can but does not necessarily have to match with the project, proposal, or resource calendar.
  • Via Invoicing key date parameter under Project Settings →  Model and Model Parameters module, administrators can define whether a user can scroll back beyond that date. Hours, however, cannot be recorded before the Invoicing key date. If an employee attempts to record hours before the invoicing key date anyway, the Recording not possible: Date is earlier than key date. message will be displayed.

Setting for Time Recording Type

In the Time Recording module there are three ways in which hours worked can be recorded: 

  • Enter hours in the day fields directly below the time scale. No further entries possible.
  • Enter hours in the Current field directly below the time scale and write a comment in the Comment field.
  • Enter hours, comment, and cost type in the daily records. The hours will subsequently be projected below the time scale.

Under Project Settings →  Global Settings module you can define which variant will be used in the Time recording variant parameter. 

Setting for Recording of Clock-in/Clock-out

In order for the user to be able to record presence times (clock-in/clock-out) in the Time Recording module, the Hours to be worked and presence parameter in global project settings must be set to 4, only then will the button for the recording of hours worked be displayed in the module and the latter will also be displayed in the Time Recording module under the respective heading.

If the employee receives the No period records found, when recording presence times, this means that the respective resource has no periods in the respective period. Resource periods must be verified and possibly be corrected. 

Setting for Hours to be Worked

In order for hours to be worked to be definable, the Hours to be worked and presence parameter in the global settings must have value 3. The procedure for setting the hours to be worked, see here.
