Plan Resources in a Project
Information
- If a project is split into work packages, i.e. into tasks, resources responsible for the completion of these tasks must be assigned individually. In PLANTA project this is called resource assignment.
- Resources are mainly persons/employees, however, departments, machines, work spaces, or skills can also be planned for tasks. They are all resource types.
- In order to be able to plan resources in projects, they must have already been created in the Master Data.
Where can I plan resources?
In the Schedule and Resource Plan modules of the required project
You can open the project a) by opening a dialog window via the Extras → Go to menu or via CTRL + G and entering the ID of the required project or b) by clicking on the link on the ID of the required project in any module. Subsequently, click on the Schedule module tab. The Resource Plan module can be found under the Further... module tab.
The Resource Plan module provides a resource-related view on the schedule without graphical window, and thus generates a better overview of the resources planned in the project which is suitable for, e.g., replanning the effort between the resources. In the Task module, only the current task is displayed including its respective resources.
Who is allowed to plan resources?
All users who have access to the Schedule and Resource Plan modules and have modification rights for projects. These are, in PLANTA standard, managers of the respective project, their deputies, or multi-project managers. For further information on rights, please click here.
Details
- The project manager plans resources in a project by assigning resources to the tasks in the schedule. Here, the project manager can decide whether he/she wants to make a coarse outline planning, e.g. only department resources the effort of which can then be redistributed to individual resources, or plan employee resources directly.
- When assigning resources to tasks, the default settings of the resources defined in the master data will be adopted in the schedule and can be adjusted per task if necessary. They then only apply to the selected project and task.
- If the "Resource Requests" function has been activated in the system, you first have to obtain approval for the resources to be planned from the resource manager (department manager). Plan resources in the Schedule module
- Right-click on the required task and select Insert → Resource or Insert → Revenue and cost resource from the context menu.
- Select the required resource from the listbox on the Resource field.
- Enter the planned effort for person, skill, and department resources as time units ("hours" in standard) in the Remaining effort field.
- Enter the planned effort for cost and revenue resources as monetary units ("Euros” in standard) in the Remaining costs field.
- Check and possibly change the load profile for a distribution of effort and costs in time.
- Enter requested dates (Requested start/Requested end) if required. This enables you to specify that several resources will work on a task at different times or that they start or finish their work at different times.
- You can assign further resources to this or other tasks and plan them in the same way.
- You can also assign multiple resources at once to a task by making a selection in the resource listbox which will be displayed when you right-click on the task and select Assign resources or Assign revenue and cost resource from the context menu.
- Save and recalculate the schedule by clicking on the Calculate schedule button in the toolbar. As a result, the project is loaded. This means: For each resource assignment and day, a load record will be created for the calculated duration of the resource assignment in accordance with the selected load profile and the planned effort of the resource will then be distributed among these load records.
