Information

  • Planning objects can be evaluated with regard to their risks and objective contributions (their contributions to the achievement of company objectives).
  • This data helps portfolio managers to decide which planning objects should be included in or removed from a portfolio.
    • Planning objects which promise little benefit but come with high risks are less attractive and are therefore more likely to be withdrawn from the portfolio.
    • Planning objects which come with great benefit and low risks are particularly lucrative and are therefore more likely to get prioritized over other planning objects. 

Where can I evaluate risks and objective contributions of planning objects?

in the line of the core data of the respective planning object: Project Core Data, Project Core Data, Program Core Data.

You can open a planning object a) by opening a dialog window via the Extras → Go to menu or via CTRL+G and entering the ID of the planning object or b) by clicking on the link on the ID of a planning object in any module. Subsequently click on the Project Core Data, Proposal Core Data or Program Core Data module tab.

Who is allowed to evaluate risks and objective contributions of planning objects?

All users who have access to the core data modules and have modification rights for the respective planning objects. In PLANTA standard, these are the managers of the planning objects and multi-project managers. For further information on user rights, please click here.

Caution

  • Risk evaluation and objective contributions are only available in PLANTA portfolio.
  • In order for risks and objective contributions to be evaluated, evaluation criteria must have been stored upfront in the Portfolio Master Data.

Process

  1. Portfolio managers store evaluation criteria. 
  2. The respective project managers evaluate the planning objects (by default).
  3. The portfolio managers compare risks and objective contribution of different planning objects and adjust their portfolios.

Evaluate the Risks of a Planning Object

Procedure

  • If no evaluation range has been assigned to the planning object in the core data of the planning object, select an area from the listbox below the Evaluation data heading.
    • Which area is selected for a planning object defines which evaluation criteria apply to the planning object.
    • Areas can, e.g., correspond to business sectors.
  • Click on the evaluate button next to the Risk value field.
    • The risk checklist which is assigned to the selected area will be displayed.
  • Answer the queries of the risk checklist with Yes or No. Write a comment if required.
  • Click on the Complete evaluation button. The data is saved.

  • In the master data, every answer option for every question is preset with a particular score which weights the corresponding answer.
  • The risk amount of the planning object is determined on the basis of the yes/no answers of all risk criteria. The result is a value which will be displayed in the Risk value field.

Evaluate the Objective Contribution of a Planning Object

Procedure

  • If no evaluation range has been assigned to the planning object in the core data of the planning object, select an area from the listbox below the Evaluation data heading.
    • The area selected for a planning object determines which evaluation criteria will apply to the planning object.
    • Areas can, e.g., correspond to business sectors.
  • Click on the evaluate button next to the Objective contribution field.
    • All evaluation criteria which are assigned to the selected area will be displayed.
  • Select a criterion contribution from the listbox for each objective criterion.
    • The value indicates the level of contribution of the planning object to the achievement of the respective objective.
  • Click on the Complete evaluation button. The data is saved.

Details

  • The total contribution amount of the planning object to the objectives is determined from the values in the Criterion contribution and Weighting fields of all objective criteria. The result is a value which will be displayed in the Objective contribution field.
