Access
Project (Proposal) panel → Status → Click on the link in the ID field of the required status report → Status report (the already existing status report will be opened)
Project (Proposal) panel → Status → Click on the Create baseline or Create status report or Create final report button → Status Report (a new status report will be created)
Information
In this module, the data which was which was transferred from the Status module and frozen at a specific time is displayed. Here you cannot create or edit data. All fields are set to "Output".
Module Header
The module header contains
project-related data such as the Project ID, Project name, and the corresponding Project manager,
status report data such as Statis report ID, Statis report name or creation or update time of the report), and
three buttons for
Approval,
Update, and
Deletion of newly created status reports. Two additional buttons are available for released status reports:
Copy link to status report via which a direct link to the current status report can be copied to the clipboard. This link can then be shared with users so that they can access the current status report directly in their browser by entering the URL, without having to navigate within the software.
Execute Export to Microsoft PowerPoint, to save status reports in PPTX format.
Status Report Data
In the status report, the fixed data is split in several areas depending on the Costs, Effort, Dates, etc. factors.
In each area, the following data is displayed in the header:
Manager’s estimate on the respective factor
The estimate is visualized by a thumb symbol.
For factors for which no estimate has been entered yet, no thumb symbol is displayed here.
Comments
In the Costs, Effort, and Dates subareas, the following data will be displayed in addition:
Calculated frozen status of the deviation values of the respective factor: Total vs. Budget for costs and effort and Requested vs. Calculated for dates.
This is visualized by traffic light triangles with a specification of the percentage deviation of costs and effort, and the deviation of dates in days.
red: costs/effort overrun by more than 5%, delay of more than 5 days
yellow: costs/effort overrun by up to 5%, delay of up to 5 days
green: costs/effort not overrun, no delay
For dates, both the project end date deviation value as well as the master milestone end date deviation value are indeed instanced, the respective traffic light, however, refers to the worst of both values.
Project trend compared to the report that was active at the time of creation of the current report.
This is visualized by trend arrows with a specification of the percentage deviation of costs and effort and date deviation in days.
Arrow up = negative trend, arrow down = positive trend.
In some areas, details can be viewed by expanding the tree structure.
Costs: details on the cost budget, two cost trend graphics as well as the Earned Value Analysis
Graphic 1: cumulated total costs from the selected status report (provided that the report has been released) and from the baseline (if it exists)
Graphic 2: total costs per month from the selected status report (provided that the report has been released) and from the baseline (if it exists)
Effort: details on the effort budget and two effort trend graphics
Graphic 1: cumulated total effort from the selected status report (provided that the report has been released) and from the baseline (if it exists)
Graphic 2: total effort per month from the selected status report (provided that the report has been released) and from the baseline (if it exists)
Dates: dates and duration of the project, milestone and master milestone dates, as well as milestone/master milestone trend graphics
Risks/Opportunities
the damage and gross profit values of the project resulting from risks or opportunities and
the Risks subarea shows the individual risks and two additional matrix diagrams that show the number of risks measured against their Damage extent and Probability of occurrence in the categories of critical, high, medium, low and very low each before and after risk treatment
In the Opportunities subarea, a matrix diagram is displayed that shows the number of opportunities measured by their Gross profit level and Probability of occurrence in the categories of high, medium, and low
Project Insights: Lessons learned as well as measures and decisions in table form, divided into two separate subareas
Notes and technical details
By default, only the values summarized via the project structure are displayed in the Status Report module, i.e., for each selected project the sum of the values of the project itself and of all of its subprojects (if there are any) are displayed.
Module Variants
Base | The frozen status of project costs, effort, dates, quality as well as risks/opportunities will be displayed. |
Complete | The frozen status of the descriptive data, evaluation data, todo items, risks/opportunities, and process steps is displayed. |
Release Status Report
Procedure
Click on the Release button.
Confirm the Status report cannot be changed after it has been released. dialog message Proceed? message with Yes.
Notes
A released report can be read but it cannot be changed.
Only users with multi-project manager or multi-portfolio manager or multi-project/request manager rights and access to the Check Status Report Creation and Project Applications module can cancel the release of a status report.
Update Status Report
Information
If changes are made to the project between report creation and release that are to be included in the report, the status report must be updated before the release.
Procedure
Click on the Update button.
Confirm the Do you really want to update this data? dialog message with Yes.
As a result, dates, costs, and budgets of the concerned project are calculated anew. This data and other possibly updated data will then be included in the status report.
If comments, measures, and decisions have been changed in the Status module in the meantime, the new data will be included in the status report as well when it is updated.
Delete Status Report
Procedure
Click on the Delete button.
Confirm the Do you really want to delete this data? message with Yes.
The status report will be deleted.
Notes
Only status reports with created status can be deleted.
If a released status report is to be deleted, the release must be canceled for this status report in theCheck Status Report Creation and Project Applications module ( only possible for users with multi-project manager or multi-portfolio manager or multi-project/request manager rights and access to the Check Status Report Creation and Project Applications module).
Baseline status reports and all released status reports that were created and released before a baseline status report cannot be deleted, since their release cannot be canceled.
Export Status Report to PowerPoint
Information
Via the PowerPoint symbol in the header area of the module, the data displayed in the module can be exported to a PowerPoint file. The PowerPoint template file must therefore be stored in the client.
In the PLANTA standard delivery, a standard !PowerPoint template is already contained in the client and can be adjusted individually if desired. For further information, see the PowerPoint Export topic in the PLANTA customizer help area.
