Include Planning Objects Retroactively in the Portfolio

It may become necessary to extend an already existing portfolio by additional planning objects.
Since any retroactively added planning object has an impact on the portfolio budget and impairs resource utilization, you will have to check:
whether the portfolio budget remains covered or whether it must be adjusted,
whether the new planning objects call for the deactivation/withdrawal of other planning objects,
whether resource utilization is feasible in the module or whether it must be optimized.
Assign New Planning Object to Portfolio
Procedure
The Planning Objects module and assign the planning object to the portfolio as described in the Create and Plan Portfolio section of this workflow.
Check the Portfolio Budget
Procedure
Open the Budgetmodule of the portfolio and check whether the portfolio budget remains covered. This is the case when the relevant budget (budget which the portfolio planning objects require as a whole) is lower than the approved portfolio budget.
A budget overrun can also be determined from the deviation fields:
If the deviation fields are colored in green, there is no budget overrun.
If the deviation fields are colored in red, there is a budget overrun.
Adjust Budget Overrun
Procedure
If there is a budget overrun, you have to decide whether the portfolio budget is to be adjusted or whether the newly added one is to be withdrawn from the portfolio budget or removed completely from the portfolio or whether another planning object is to be removed from the portfolio instead. For this purpose you can compare the planning objects of the portfolio in the Projects by Objective Contribution and Risk Value module.
In order to withdraw planning objects from the portfolio, they must be set inactive for the portfolio budget:
To do so, go to the Budget module of the portfolio.
Click on the Costs column heading in the table of the budget period in which the budget overrun occurs. The heading has a blue font and is located at the very left of the table.
The Edit Period module will be opened. In this module, information on the budgets of the individual planning objects are displayed for the selected period.
Remove thecheckmark in the Activecolumn for each planning object which is to be deactivated.
In order to delete planning objects entirely from the portfolio:
Right-click on the planning object which is to be deleted.
Select the Delete assignment command from the context menu.
Simulate Portfolio
Procedure
Besides its influence on the budget, a newly added planning object can also have an influence on the dates already planned for other planning objects of the portfolio or lead to conflicts in resource requirements.
