Dashboard (Project) MOD009E1P

Introduction

  • Planning → Projects panel → Click on the ID of the required project (proposal) → Project (Proposal) panel → Dashboard

Alternative Introduction

Alternative Introduction

  • There are several ways to access the desired planning object or portfolio panel and its associated modules:

    • via Quick Access in the user menu (My Objects and Favorites)

    • via the Global Search function in the user menu (Direct Entry)

    • via links on planning objects or portfolios in various modules

Information

  • This module acts as a kind of message center for changes made to the project. Here, the latest project information is displayed.

  • It is a plain output module, i.e., data cannot be changed.

  • The module is empty when a project is created. In the course of project planning and editing, the module is filled with data.

Note

  • If the module described here is opened and at the same time you make changes to another module of the project panel which have an influence on the data in the module described here and save them (or if another user has done so), the Refresh button is displayed at the lower left corner of this module. You have to click on this button in order to refresh the display of the data.

If you are using a hybrid system, the Check Synchronization Error button will appear in the action bar in the event of a synchronization error. Clicking this button opens the Hybrid Protocol module, where you can view the causes of the failure.

Action Bar

Information

  • The action bar contains the Copy link button.

    • By clicking on this button, a direct link to the Dashboard module of the respective project is copied to the clipboard.

    • This link can then be shared with users so that they can access the module directly in their browser by entering the URL, without having to navigate within the software.

Process status

Information

  • When a process model has been selected in the Process Status module, the process bar, which includes all defined phases of the selected module, is displayed at the top of the module.

    • Completed phases are displayed as dark green circles.

    • The phase whose process steps are in progress is displayed as a white circle with a dark green border.

    • All future phases are displayed as gray circles.

    • By clicking on a completed or current phase you can switch to the Process Status module. The system automatically jumps to the phase you have clicked on. As a result, the phase is highlighted.

Status

Information

  • In the status bar, the project manager’s estimate as well as the project status calculated by the program from the current planning (upper line) and from the active (last released) status report (lower line) are displayed.

    • The estimate of the project manager is visualized by a thumb symbol.

    • The project status calculated by the program is visualized by a triangle shaped traffic light.

      • red: Cost/effort overrun by more than 5% or delay of more than 5 days.

      • yellow: costs/effort overrun by more than 5% or delay of more than 5 days.

      • green: Costs/efforts will not be overrun or no delays.

  • Below the status bar, all master milestones of the project are displayed in a graphic.

    • The y axis contains three planning states:

      • Current status

      • Status from the active (last released) status report

      • Status from the baseline status report

    • The x axis displays the entire project duration

      • Start = earliest calculated start date of the three planning states on the y axis

      • End = latest calculated end date of the three planning states on the y axis

    • Diamonds represent tasks that are defined as master milestones.

      • In the middle of each diamond, the WBS code is displayed.

        • If no WBS code has been generated yet, the technical ID of the task will be displayed.

      • Diamonds of completed tasks are or will be colored in dark gray.

      • For the task name, refer to the legend below the graphic.

      • If you left-click on a hash, this hash and the other remaining hashes of the same task from other reports will be enlarged for comparison purposes.

    • A black line in the graph represents the today line.

      • The portion of the graph up to the today line is light gray.

Details

  • The graphic will only be displayed if the following requirements are met:

    • The selected planning object is active (status=1) or archived (status = 9).

      • For archived planning objects, only the data from the baseline and the active status report are displayed.

    • Master milestones are available in the schedule.

    • The master milestones are scheduled (a scheduling was carried out after planning of the master milestones).

    • Each master milestone has a name.

  • If one of these requirements is not met, a note is displayed which informs you that the chart data is not available and gives you the reason for this.

If a baseline report is created first and a status report afterwards (or the other way around) while no changes have been made in the mean time, the display of the master milestones in the chart in the Dashboard module is the same for all three planning statuses (current status, active report, baseline). This is also the case if only one baseline report exists.

Structure

Information

  • For projects that have been organized into main and subprojects, the project structure is displayed in this section.

  • Clicking on the ID of the desired (sub)project opens the corresponding Project panel.

Work

Information

  • The Work area provides a compact overview of all pending work in the project.

  • Work includes tasks, process steps, risk and opportunity measures and change requests.

  • For each work type, the number of work areas is specified by date status (today, delayed, future, without date).

    • On each number, a link is stored via which you can switch to the respective editing module in which the work records concerned are highlighted (marked).

    • If necessary, data can be changed in these modules.

Technical details of the parameters on which the date status calculation is based.

  • Task:

  • Process step: Date

  • Opportunity measure: Date

  • Risk measures: Date

  • Change request: Requested on

    • Since the Requested on date can never lie in the past, there can be no entries in the Future column for change requests.

Deviation

Information

  • This area provides deviation information on budget, cost, and effort data of the project.

    • In the header, absolute numbers, as well as different deviation data, are displayed graphically (in %). These values are values from the current planning.

    • The Cost Trend Analysis or Effort Trend Analysis links lead to the modules of the same name.

    • In the Cost deviation and Effort deviation subareas, tasks are displayed with the cost and effort deviations from the current planning compared to those from the active (last released) status report.

      • Each record has a traffic light which either switches to red (high deviation) or to yellow (low deviation), so you can see at first sight in which tasks the deviation is too high.

      • Via the Edit task context menu command you can switch to the Task module in which the task data can be viewed and edited.

Project Insights

Information

  • In the Project Insights area, the lessons learned recorded in the course of the project as well as measures/decisions are displayed.

While lessons learned highlight what worked out well and where there is room for improvement, measures/decisions must be implemented in order to bring about concrete improvements or changes. For further information, see Project Insights.

  • By clicking on the ID of the required entry you can switch to the corresponding Lessons Learned or Measures/Decisions module in which the corresponding lessons learned or measures/decisions can be edited.

  • In the Dashboard, only entries for lessons learned and measures/decisions for which the Show in Dashboard checkbox is activated in the above-mentioned modules are displayed.
